Green Room Personal Management Privacy Policy

Green Room Personal Management is a talent agency and, as such, people use our services to find and be found for business opportunities. Our privacy policy applies to everyone (hirer and worker) who uses our services. The privacy of your personal information is very important to Green Room Personal Management.  We need to collect and process some of your personal data to carry out job seeking on your behalf and fulfil our obligation as an agent.

 

Green Room Personal Management is compliant with the 2018 GDPR legislation. All companies must have a legitimate reason for collecting and processing your data. GDPR refers to this as the “lawful basis for processing” and sets out six different types of lawful basis. In our case, the main lawful bases allowing us to collect and process your data are ‘contractual’ and ‘legitimate interest.’

 

This policy explains the way that Green Room Personal Management collects and uses your information.

 

HOW WE COLLECT YOUR INFORMATION

When you contact Green Room Personal Management, we will collect relevant information including but not limited to: Name, Address, Contact Numbers, Emergency Contacts, Email Address, Date of Birth, Height, Clothing measurements & shoe size, Medical conditions / Disabilities / SEN requirements, Banking Details for payments and tax purposes, Passport details/residency status. This information will be used as set out below.

 

HOW WE USE YOUR INFORMATION

When you join Green Room Personal Management as an actor, you are required to complete a Tagmin profile, a client information sheet and sign a contract. This information is held securely and may only be accessed by Green Room Personal Management staff.

 

We may use this information for reasons including but not limited to submitting you for acting work, to discuss and negotiate salary and/or fees, verbal and email communication with casting directors, directors, producers, and other creatives involved with the process of pursuing work on your behalf, discussion with lawyers/legal departments if applicable, to execute our obligations arising from any contracts entered into by you and through Green Room Personal Management on your behalf, processing of a grant or job application, HMRC reporting, to notify you of any changes on the services we provide, to discuss with you the services we provide.

 

We are required, by law, to hold some types of information to fulfill our statutory obligations and take care to review retention periods on a regular basis. Green Room Personal Management will hold your personal information for the period in which you are involved with the agency and then contact information only for a period after as set out in your contract to ensure you can receive residual payments from past jobs.

 

WHO CAN ACCESS YOUR INFORMATION?

We will not sell, rent or trade your personal information to any third party. We will take every care to protect the security of your information.

 

We share the professional identities of the actors on our books with potential hirers including casting directors, production companies, ad agencies, sub contactors and other associated organisations for the purposes of providing our services to them. This also occurs in reverse. We will never use your data for profiling purposes. Where we use third party service providers, we shall only disclose the information that is essential to deliver our service.

 

We will also share the professional identities of the actors on our books on Tagmin (password protected online management data base systems which manages their contact details).

 

OPTING OUT

You have the choice as to whether you would like to continue to receive marketing emails from us. When we send out an email of this nature you may choose to unsubscribe by replying with “unsubscribe”.

 

UPDATING YOUR INFORMATION

It is important to Green Room Personal Management that we hold your most accurate and up to date information. If you have any change to make to your personal information, including change of email address, please let us know. You may request a copy of the information that Green Room Personal Management holds about you at any time. You should make this request in writing via email to info@greenroompm.co.uk.

 

HOW WE PROTECT YOUR INFORMATION

 

When you provide us with your information, we take every step to ensure it is stored securely. Electronic copies are held within a secure server (Tagmin) and all devices upon which information is stored are password protected.
